Now sales reps can override prices in Sage Accpac ERP the same way they could in the Accpac Order Entry table. If Accpac users are entitled to give discounts on lines in Accpac – so they can when placing orders online using XM Oxygen to the same maximum discounts as set up in Accpac ERP.

Only users with price override set up in Accpac can see this feature. All they need to do is once items have been placed in the basket by the Sales Rep; the fields with the price can be edited. To override the customer price, simply type in the new price. Provided it is within the discount constraints set up in Sage Accpac ERP, then XM Oxygen will over-write the price in the Order Entry table and the order process continues as normal.

Now clients can view and print out their own historical financial transactions online.

By clicking on ‘TRANSACTION’ on the right hand menu clients will be taken to a list of all their past invoices, payments and credit notes. They can preview then by using ‘mouse over’ to see a preview screen or by clicking on them for more details or if they wish to print them.

Open invoices can be paid here using a credit card. Click on ‘Pay open Invoice’ top right of the screen and this will take to the pay open invoices screen, where you can select which invoice (or invoices) you wish to pay via credit card.

Once selected, clicking ‘Pay Now’ opens the Credit Card payment page, where card details are submitted and funds are deposited into your merchant account.

Once your payment gateway responds the transaction was successful, XM Oxygen updates the Account Receivable table in Sage Accpac ERP in real-time, adjusting your clients balance and (if applicable) credit limit immediately – useful to avoid uncomfortable conversations when clients wish to place orders, but are over their limit.

Real-time Online Reporting Services from Accpac ERP

A wide variety of key reports are available in graphical and data format based on filters you enter, such as date, region, department, customer, user and inventory.
Order and Product reports filters include;
• Date range
• Category
• Region
• Department (user groups)
…and can be output by order quantity, revenue or unit .
Views can also be changed from Standard and Reference view, the later listing order references as entered by customers.

Standard Inventory reports are;
• Top 10
• Top 100
• Out of stock
• Under low level stock
• Under 50
• 50 – 100
• 100 – 500
• Over 500
• Order trends (bar charts per product)
• Stock trends (products that were requested when out of stock)
All above mentioned filters can also be applied.

Create Quotes Online that insert into Accpac

The ‘Quote’ feature allows Sales Reps or customers to add items to baskets and rather than submitting the order, submit a ‘Quote’ into Sage Accpac, which in turn responds in
real-time with the correct Accpac Quote number and stores the quote both in Accpac and on the website for later approval.

Batch Image Uploading

As the current version of Sage Accpac ERP doesn’t store product images, XM Oxygen has a simple and effective way of uploading your product images to the site. All you need do is rename the product GIF or JPEG images as the product code, ’ZIP’ it to a file on your desktop and browse to the file to upload images to the site. XM Oxygen will automatically associated pictures to products, resize for enlarged view and thumb, and optimize for web viewing.
UP to 12 images per item is supported as a standard capability.

Customer Transaction History

All customer transaction history is available to Admin users and Sales Reps for quick online viewing of previous orders, invoice numbers and current account balances. Customers are only able to access their own histories.

Manage AR Customers

As the Customer file is pulled directly from you Sage Accpac ERP, you are able to amend client details here. In fact, clients can amend their own – perhaps they move head office or add another location? Amended details are sent to a site Administrator for approval, and in the meantime the customers details are marked in red with ‘marked for changes’.
XM Oxygen won’t update the details in the Sage Accpac customer file until a site administrator has approved the changes, in order to protect data reliability.

Managing Site Users and Access

XM Oxygen supports a number of user types, including:
B2C (cash customers) – B2C customer orders are processed against a generic cash account in Accpac. They can create a web store username and password so that the site can remember them the next time they log in.
B2B (AR Account customers) – Customers with pre-existing accounts in Accpac AR can be provided a log in to XM Oxygen. Account details will be automatically reflected upon log in, such as customer pricing, taxes, terms and transaction history. Unlimited users can be associated with an AR account, with users having varying site permissions.
Web based Order Entry (Sales or Call Center) – A business that has deployed XM Oxygen can set users up to place orders on behalf of customers. The set up can be limited to only those customers that have been assigned to that user in Accpac (Salesperson), or they can be set up to access all customers (Call Center). These users can also be provided full transaction history for customers they have access to.
Browse Only – Users can be limited to only browsing the site, with no capability to place an order.
Other features include exporting users as Excel, exporting passwords, usernames and even assigning customers to ‘teams’ enabling your clients to report on their own employees purchasing activity via your site.

Manage Public Section

When users land on an XM Oxygen web site they can either be presented with a B2B only log in page, or they can be presented with a public (B2C) interface.
Orders placed on this section are for non-account holders, so this section is integrated with a Credit Card payment facility. Orders processed in the public section are dropped into Accpac Order Entry as Cash sales. Customers must still provide personal details including shipping address and email address to ensure correct order entry, and they can save their details for future Credit Card transactions*.
XM Oxygen can be set up to hide prices and/or products prior to log in for those businesses with no requirement for B2C sales via a web store.
*XM Oxygen will not retain Credit Card numbers as this is illegal in some countries.

Customer Control Panel

This control panel allows a site administrator to change the basic setting for an XM Oxygen e-commerce site, such as, who receives notification emails, how orders are handled (either directly updating Accpac or requiring order approval). Maximum order levels, company logo and button colour scheme in order to customise the template to suit corporate image and branding.
Though XM Oxygen is designed to complement a separate corporate website – XM Oxygen templates include a Content Management System in order to change common website areas such as ‘contact us, FAQ, Holiday hours’ and ‘Company Overview’ giving XM Oxygen the option to be a customer’s one and only web presence if they want.
By using a template driven approach, the cost of implementing and maintaining an XM Oxygen web store is substantially lower. XM Oxygen customers are provided a number of high quality site templates from which to choose.
Up front costs are predictable and manageable, with XM Oxygen and Accpac version upgrades manageable within this customer Control Panel. XM Oxygen can support customer specific enhancements; however, whenever possible XM Developments will build enhanced functionality into the core product to ensure ease of upgrading to new versions.
